Cancellations and refunds happen after a label has already been generated more often than most sellers expect — a customer changes their mind minutes after checkout, a payment gets flagged as fraudulent, or an item turns out to be out of stock after the order came through. What happens to the Royal Mail label and postage cost in that situation isn't always obvious, and getting it wrong quietly costs money over time.
Cancelling a Shopify order doesn't automatically cancel the label
Shopify order cancellation and Click & Drop label generation are two separate systems, connected but not fully synchronised in real time — cancelling or refunding an order in Shopify does not automatically void a Click & Drop label that's already been generated and paid for. If dispatch hasn't happened yet, the label needs to be manually voided in Click & Drop as a separate step.
Voiding an unused label for a refund
Click & Drop allows cancelling a generated label before it's been used for dispatch, which in most cases refunds the postage cost back to your Click & Drop account balance — worth checking current terms, since refund eligibility windows and any partial deduction depend on Royal Mail's specific policy at the time. This is worth doing promptly once you know an order is cancelled, rather than letting unused label costs accumulate unnoticed.
What happens if the parcel has already been dispatched
If a parcel has already left with the courier before a cancellation or refund comes through, the label obviously can't be voided — at that point it becomes a returns process instead, covered in general terms in our lost and damaged parcel guide for the compensation side, with the practical outcome usually being either a customer-initiated return once the parcel arrives, or accepting the postage cost as a loss on that specific order.
Building a check into your cancellation workflow
The most reliable way to avoid quietly losing money on unused labels is a small procedural step: whenever an order is cancelled or refunded in Shopify, check whether a Click & Drop label was already generated for it, and void it immediately if dispatch hasn't happened. For low order volume this is a manual glance; for higher volume, some sellers build this into their order tag automation, covered in our order tag automation guide, flagging cancelled orders for a dispatch-team check before anything gets packed.
Partial refunds and label cost
A partial refund (reduced item price, but the order still ships) doesn't affect the label at all — the label was generated based on weight and destination, not order value, so a partial refund on the product price has no bearing on postage already paid. This only becomes relevant if the partial refund also changes what's actually being shipped, in which case the label may need to be regenerated for the correct weight.
Multi-item orders with partial cancellations
When only some items in a multi-item order are cancelled or refunded but the rest still ships, the original label may now be for the wrong weight if the parcel's contents changed meaningfully — worth checking the printed weight is still accurate rather than assuming a partial order change has no effect on the shipping label itself.
Frequently asked questions
Do I get my postage cost back automatically when I refund a Shopify order? No — refunding the order in Shopify and voiding the associated Click & Drop label are separate actions; the label needs to be manually cancelled in Click & Drop to reclaim the postage cost, and only if dispatch hasn't already happened.
Is there a time limit on voiding an unused Royal Mail label? Yes, generally — Click & Drop label cancellation is normally only available within a limited window and before the parcel has been scanned into the network, so it's worth checking current terms and acting promptly once you know an order won't ship.
What if I only realise weeks later that I paid for an unused label? Once the cancellation window has passed, that postage cost is typically not recoverable, which is exactly why building a quick check into your cancellation process — rather than relying on remembering to check manually — matters more as order volume grows.
No wasted labels either way
Our rolls come 220 labels to a roll, so voiding the occasional label for a cancelled order is a rounding error, not a real cost.
