The headline postage prices in Royal Mail's Business Price Guide are only part of the real cost of running a shipping operation through Royal Mail. Collections, add-on services like signature and age verification, and annual licence fees for response services all carry their own separate charges — and from 1 July 2026, some of these are large enough to change which shipping setup makes financial sense.
Business Collections: free only above a spend threshold
Royal Mail will collect from your premises for free if you buy Royal Mail Tracked on Account or spend more than £20,000 per year per site on qualifying services — or if you meet a Parcelforce Worldwide volume threshold (750 items a year, or 1,000 items combined across Parcelforce Worldwide, Royal Mail Tracked, International Tracked and Signature, and Tracked Returns). Below that spend, a regular weekday collection costs £1,275 a year, or £2,500 for a timed weekday slot. Saturday collections cost £360 a year, or £700 timed. A one-off collection on demand costs £20 per collection, and an additional £350 applies per floor if your collection point isn't on the ground floor.
Why the collection threshold is worth calculating properly
At £1,275 a year for a standard weekday collection, a business shipping meaningful volume is often better off qualifying for free collection by increasing Royal Mail Tracked spend or overall qualifying spend past £20,000, rather than paying the flat collection fee indefinitely. Signature, age and ID verification add-ons
Adding a signature-on-delivery option to Royal Mail Tracked or Parcelforce Worldwide services costs 70p per Parcel, or £1.10 for a Tracked Large Letter — cheaper than upgrading to a fully Signed For service if signature confirmation is the only thing you need added. Age verification (confirming the recipient is 18 or over) costs £2.40 per item across Tracked, Special Delivery Guaranteed and qualifying Parcelforce services — relevant for any business selling age-restricted goods online. ID verification, available specifically on Special Delivery Guaranteed, costs £3.60 per item and restricts delivery to the named addressee only.
Licence fees for response services
Response services — where you cover the cost of replies sent back to you, such as Special Delivery Guaranteed Returns — require an annual licence separate from postage itself. The Special Delivery Guaranteed Returns licence costs £170 a year (excluding VAT), with a deposit potentially required on top. Consequential loss cover: a separate add-on from standard compensation
Beyond the standard compensation included with Special Delivery Guaranteed, consequential loss cover — protecting against losses beyond the item's own value, such as a missed deadline — is priced separately: £1.90 for £1,000 of additional cover, up to £8.10 for £10,000, covered alongside standard compensation tiers in our Special Delivery Guaranteed pricing breakdown.
Timed Delivery and PO Box: fixed-fee business services
Royal Mail Timed Delivery, which lets a business specify what time of day mail should arrive (available within 10 miles of a delivery office), costs £502.50 a month or £6,022.50 a year. A PO Box costs from £42 a month for Collect or Delivery options, scaling to £347 a year for a 12-month Collect PO Box. Both are niche services, but worth knowing about if a specific delivery time or a discreet business address is genuinely part of your operation.
